Practice Coordinator

The Practice Coordinator plays a key role in supporting the day-to-day administrative and operational functions. This position ensures that clinical and administrative workflows run efficiently by coordinating scheduling, billing, client relations, maintaining regulatory standards, and internal communication. The Practice Coordinator helps maintain a high-quality patient and staff experience. Key Responsibilities : Administrative Support: Maintain accurate and up-to-date patient records on EHR system (ClinicSource). Prepare necessary forms, reports, and documentation for providers and billing. Assist with new patient intake, sending paperwork, verify insurance and collect payments. Help coordinate internal meetings, calendars, and communications. Manage appointment scheduling, confirmations, and cancellations. Respond to phone calls, emails, and patient inquiries in a timely, professional manner. Operational Coordination: Assist with managing daily practice including billing, scheduling, and staff communication. Monitor operational income and expenses and ensure cost-efficiency. Oversee billing practices and revenue cycle processes. Staff Workflow Support: Collaborate with administrative and support staff. Foster a positive and professional work environment. Help develop and maintain operational policies and procedures. Coordinate with clinical staff to align administrative and clinical Practice. Compliance Reporting: Ensure compliance with federal, state, and local health regulations (e.g., HIPAA, OSHA). Coordinate licensing, certifications, audits, and inspections. Implement quality improvement initiatives to enhance service delivery and patient satisfaction. Technology Systems: Oversee electronic health records (EHR) systems and other digital tools: ClinicSource Google Workspace Microsoft Office Requirements Education Experience: Associate’s or Bachelor’s degree preferred. 2–4 years of experience in a healthcare or administrative support role. Experience with electronic health records (EHR) systems (ClinicSource preferred). Skills Competencies: Strong organizational and multitasking skills. Excellent communication and interpersonal abilities. Bilingual (Spanish and/or Haitian-Creole) Proficiency in Microsoft Office (Excel, Word, Outlook).
